School Counseling Assistant & Registrar

Job Summary:
Bishop Hartley High School is searching for a faith-filled, qualified, organized, motivated and energetic individual who will regularly complete tasks in a timely manner for our comprehensive school counseling program. The position is expected to use personal judgment in carrying out routine duties and responsibilities of the school counseling team which includes four school counselors and a college and career counselor.
Position Qualifications:
Required:
An understanding of communications and the Catholic perspective; the ability to be flexible to adapt to changing needs; excellent reading skills and communication skills. Must be proficient with Microsoft Office suite (Microsoft Word, Microsoft Outlook, and Excel), Google workspace and general computer functions. A minimum of two years of prior experience in an office setting, keyboard, and computer experience is required.
Strongly Preferred:
● Experience in school counseling support, registrar work, or student services
● Familiarity with student information systems and transcript management
● Strong organizational, communication, and interpersonal skills

Primary Job Responsibilities
Student Records & Registrar Duties● Maintain accurate and confidential student academic records, transcripts, enrollment data, and graduation documentation
● Process student enrollments, withdrawals, and transfers and request incoming student records in coordination with administration
● Prepare and send official transcripts and records to colleges, scholarship programs, diocesan offices, and other schools
● Support the completion of other student records such as work permits, Advance Placement Testing, education verification
● Ensure compliance with state, diocesan, accreditation, and FERPA requirements
● Oversee data integrity and record retention within the student information system
Counseling Team Support● Support school counselors with scheduling, course requests, and academic planning
● Field student and parent inquiries, requests, and questions to the proper school personnel
● Assist with college and career readiness programs, applications, and
documentation, and college visits
● Communicate clearly and professionally with students, parents, teachers, and administrators
● Coordinate meetings and schedule appointments for the school counseling team
Office & Administrative Support● Perform data entry, filing, correspondence, and general office duties for the counseling office
● Respond to record requests and inquiries in a timely and professional manner
● Collaborate with faculty and staff to support academic programs, student needs, and student testing

● Serve students and families with compassion, respect, and confidentiality
● Support the school’s mission, philosophy, and spiritual environment
● Participate in school liturgies, events, and professional development as required
